Caseloads are available to staff with school-level access, so you can focus your support on a smaller group of students while maintaining visibility into the wellbeing of all students on campus.
- Log in to your Closegap staff account here.
- Click '
Manage' from the navigation menu on the bottom left-hand side of the page.
- The Manage page will automatically open to Staff. Click 'Students' from the navigation bar at the top.

Select each checkbox next to the student(s) you'd like to add to your caseload.
- Ensure that 'All Students' appears underneath your school name in the purple navigation bar at the top (see How-To Switch Between Viewing All Students and Your Caseload). This confirms you’re viewing all students on campus and can add any of them to your caseload.
- Click '
ADD TO CASELOAD' in the menu bar across the top of the page.
- A popup will appear. To confirm the addition of these students to your caseload, click 'ADD TO CASELOAD.'
- You'll see a green banner at the top of your screen confirming the number of students who were just added to your caseload.
FAQ
Who can add students to a caseload?
Only staff with school-level access can add students to their own caseload.
Staff can only manage their individual caseload - not those of other staff.
Staff with classroom-level access automatically see their students assigned to their classrooms and cannot add students to a caseload.
What are the benefits of adding students to my caseload?
Adding students to your caseload allows you to take a closer look at the specific students you support, while still maintaining visibility into all student check-ins on campus.
You can also update your notification settings to receive emails only for students in your caseload. (see How-To Manage Notification Settings for My Caseload).
Can I update my caseload throughout the school year?
Yes! You can update your caseload at any time by adding or removing students as needed throughout the school year (see How-To Remove Students from Caseload).
Can I still see check-ins for students who aren’t on my caseload?
If you have school-level access, yes! You can switch between viewing check-ins for all students on campus and check-ins for those students on your caseload using the view menu in the purple navigation bar at the top of the page (see How-To Switch Between Viewing All Students and Your Caseload).
Can I add students who are already on someone else’s caseload?
Yes. Multiple staff members can add the same student to their caseloads if they each support that student. Adding a student to your caseload doesn’t remove them from anyone else’s.
How can I tell if a student is already on my caseload?
Students already in your caseload will appear when you switch your view to My Caseload using the dropdown menu in the purple navigation bar at the top (see How-To Switch Between Viewing All Students and Your Caseload).
