How-To Switch Between Viewing All Students and Your Caseload

Caseloads are available to staff with school-level access, so you can focus your support on a smaller group of students while maintaining visibility into the wellbeing of all students on campus. 

1. Log in to your Closegap staff account here.
2. In the purple navigation bar at the top, click the dropdown arrow next to your school name to open the view menu:
   • Select 'My Caseload' to see check-ins, messages, and student information only for the students on your caseload.  This view helps you focus on supporting a smaller group while still tracking their progress and needs.
   • Select 'All Students' to see check-ins, messages, and information for every student at your school. This view lets you monitor campus-wide wellbeing while still being able to focus on your caseload as needed.

FAQ

Who can add students to a caseload?

Only staff with school-level access can add students to their own caseload (see How-To Add Students to Caseload).

Staff can only manage their individual caseload - not those of other staff.

Staff with classroom-level access automatically see their students assigned to their classrooms and cannot add students to a caseload.

What does it mean to have students on my caseload?

Having a caseload allows staff with school-level access to focus on a specific group of students they support more closely, while still maintaining visibility into all student check-ins across campus.

As a staff member with school-level access, does having a caseload impact email notifications?

Yes, you can customize your notification settings to receive emails only for students in your caseload. (see How-To Manage Notification Settings for My Caseload).

How does this support my work with students?

Using caseloads and the All Students view strategically allows you to provide targeted support, respond quickly to urgent needs, and maintain a clear picture of overall student wellbeing.  You can also remove students from your caseload when they no longer need your focused support, keeping your caseload current and manageable (see How-To Remove Students from Caseload).

As a district leader, can I view data for all of my schools using Closegap as well as my caseload?

Yes. With Closegap Premium, district leaders can view aggregate district as well as school-level data to monitor overall wellbeing and engagement across schools.  To switch your view, use the dropdown menu next to your school name in the purple navigation bar and select the name of a particular school, All Premium Schools, or My Caseload (see How-To Add Students to Caseload).
