Caseloads are available to staff with school-level access, so you can focus your support on a smaller group of students while maintaining visibility into the wellbeing of all students on campus. You must have school or tech-admin level access to update notification settings.
- Log in to your Closegap staff account here.

Note: By default, all staff members receive email alerts for Crisis Alerts, Wants to Talk, Urgent Check-Ins, and New Messages for their students.
- Classroom-level access: alerts are limited to students in their classroom(s)
- School-level access: alerts include all students on campus
- Find your name in the staff list.
- Open the dropdown menu under each alert type -- Crisis Alerts, Wants to Talk, Urgent Check-Ins, and New Messages -- and select My Caseload.
- Your changes will display immediately and save automatically.

Can I set different preferences for each alert type?
Yes. You can select a different setting (All Students, My Caseload, or No One) for each alert type -- Crisis Alerts, Wants to Talk, Urgent Check-Ins, and New Messages (see How-To Manage Notification Settings)
What types of email notifications can I manage?
You can manage notifications for four types of alerts using the dropdown menus in Notification Settings:
- Crisis Alerts: if a student mentions thoughts of suicide, self-harm, or harm to others in their check-in
- Wants to Talk: when a student asks to talk to an adult (either you specifically or any trusted adult)
- Urgent Check-Ins: when a student is triaged as urgent as a result of the combination of emotions, energy levels, and needs they indicate during their check-in
- New Messages: when a student sends a message through Closegap or shares something new during their check-in
What happens when I select 'Caseload Students' in notification settings?
You’ll receive email alerts only for Crisis Alerts, Wants to Talk, Urgent Check-Ins, and New Messages from students on your caseload (see How-To Add Students to Caseload).
How can I view and manage the students on my caseload?
If you have school-level access, students in your caseload will appear when you switch your view to My Caseload using the dropdown menu in the purple navigation bar at the top (see How-To Switch Between Viewing All Students and Your Caseload).
What happens when I remove a student from my caseload?
Once a student is removed, they’ll no longer appear when you view your caseload and they will no longer be included in email notifications specific to your caseload students (see How-To Remove Students from Caseload). You’ll still be able to view their check-ins when viewing All Students (see How-To Switch Between Viewing All Students and Your Caseload).
