How-To Manage the School Calendar

You must have school level or tech-admin level access to manage calendar settings for your school.

1. Log in to your Closegap staff account here.
2. Click ' Manage' from the navigation menu on the bottom left-hand side of the page.
3. On the Manage page, click 'CALENDAR SETTINGS' on the upper right-hand side of the page.
4. In the School Year section, enter the following information which impacts when check-ins are available to students:

• the first day of school
• the last day of school
• your school's time zone
• the time of day you want check-ins to open to students
• the time of day you want check-ins to close for students

Note:  Check-ins are available to students Monday through Friday during check-in hours to ensure that staff are able to support students in need. 

5. Be sure to click 'UPDATE SCHOOL YEAR' to save your changes.
6. In the Add New Vacation section, enter the following information to ensure that check-ins close when staff are not on campus to respond to students in need:

• the name of the school vacation
• the day the vacation starts
• the day the vacation ends

7. Be sure to click 'ADD VACATION' to save your changes.  Repeat as needed to add all vacations for the school year.

FAQ

Why is it important to set our calendar for the school year?

Check-ins are available to students Monday through Friday, based on the dates set in your school calendar.

In addition, setting up your calendar is important because:

• On the first day of school, we send out welcome emails to students with a link to login.
• During vacations, the check-in closes to all students.
• On the last day of school, the check-in closes to all students for the summer. 

When are check-ins available to students?

By default, check-ins are open to students between 7:30am and 3pm Monday through Friday (according to your school's time zone) to ensure your school staff is available to support students in need.  You can set custom check-in hours to match your school hours, ensuring students check in when it’s best for your team (see How-To Set Custom Check-In Hours).
