School staff can share a student’s Closegap account with parents or caregivers -- and with other trusted adults who support the student outside of school, or other school staff who support the student -- when requested and after you’ve received parent/caregiver approval. Shared adults will be able to view the student’s check-in history until they're removed from the student's account.
- Log in to your Closegap staff account here.
- Click '
Manage' from the navigation menu on the bottom left-hand side of the page.
- The Manage page will automatically open to Staff. Click 'Students' on the navigation bar at the top.
- Click on the name of the student whose account you'd like to share.
- You'll see the student's name in the upper left-hand side of the page. Click on 'ADULTS ON ACCOUNT.'
- All adults with access to the student's account will appear. Find the Share student section at the bottom. Enter the email address of the adult you want to share this student with in the box.

Click 'SHARE STUDENT.'
- Note: If the email address is not already registered in Closegap, the invitee will get an email with a sign-up link. Once signed up, the shared student will be on the invitee’s dashboard and they will have access to the student's check-in history.

Who can I share a student with?
You can share a student's account with any trusted adult who supports them — including school staff, specialists, coaches, and extracurricular staff — or with external supporters like parents, caregivers, or a therapist, as long as you've confirmed parent/caregiver consent in accordance with your school and district guidelines.
What access will the adult have after I share the student?
Adults added through the Share Student feature have access to the student’s profile, historical check-in data (including emotions and needs), and on-going visibility into the student’s ongoing check-ins moving forward.
What if the adult does not already have a Closegap account?
After you click Share Student, the adult will receive an email inviting them to create an account or log in to Closegap. Once they complete setup, they’ll have a Closegap account and be able to access the shared student.
Will the student or their caregivers be notified when I share the account?
The invited adult receives an email invitation. Students and current adults on the students account are not automatically notified.
Can I share multiple students with the same adult?
Yes. You can repeat the process for as many students as the adult is approved to support.
